Okay, let’s break it down. How many productive hours does an average provider bill for each week? Multiply that by the average number of weeks worked each year. Assuming billable client hours equates to the number of client sessions, MyOutcomes costs less than 20 cents per session.

Take for example a practice with a $194 annual subscription (subscription rates vary). The practice has a productivity requirement of 26 hours per week per therapist, who all work an average 44 weeks per year. Multiply the 26 hours by 44 weeks to get a total of 1144 client hours. Assuming a session is one hour long, the $194 subscription works out to 17 cents ($0.17) per session.

Before you answer, let’s consider what no-shows and dropouts are costing you each year. Do you know your no-show and dropout rate? If not, use this simple formula to estimate.

On average, how many client sessions do you have scheduled each week? How many times each week do your clients cancel or just fail to show up? Divide the total number of cancellations and no-shows by the total number of scheduled sessions. This percentage is your no-show rate.

For example, if you have 30 sessions booked and six people do not show up, your rate would be 20%.

The actual average is closer to 40%, so if your no-show rate is 20%, congratulations! If your rate is more like the true average, though, what would it mean to you if you could reduce it by 30%?

On average, how much money do you receive for each billable client hour? Multiply that hourly rate by your no-shows per week. This is the amount of money your practice is losing due to no-shows each week. Want to determine your loss per year? Multiply your weekly no-show loss by the average number of weeks worked each year. This is what no-shows and dropouts are currently costing you!

For example, if you receive $75.00 per billable client hour, and you have 6 no-shows per week, you are losing $450 per week or $19,800 per year. If you could reduce your no-show rate by 30%, you could reduce your yearly loss from $19,800 to $13,860. Put another way, you would receive an additional $5,940 from billable client hours each year.
